Position Overview
The Executive Assistant is a vital member of the Alumni Association team, providing dedicated administrative support to the Executive Vice President of the Alumni Association and the Executive Vice President/Chief Financial Officer (EVPs), and each of their direct reports (seven in total). This is a full-time, exempt position and is ideal for someone who thrives in a collaborative, fast-paced environment and is committed to supporting the mission and operations of the Alumni Association.
This exempt position has an annual range of $65,600 through $82,000.
This position pays a competitive salary commensurate with experience and is also eligible for an annual performance-based bonus of up to 6%, when applicable. You would also be eligible for a generous benefits plan which includes medical, dental, vision, an FSA, an HSA, a fully vested 403(b) retirement plans with employer matching, 22 days of accrued paid time off (PTO) per fiscal year, 14 paid holidays per calendar year, group life insurance, short-term & long-term disability, identity theft protection, and annual opportunities for professional development. Although not guaranteed, certain additional benefits may be offered through the Naval Academy, such as use of certain recreational facilities (including the Brigade Sports Complex gym, marina and indoor/outdoor pools).
This position is based in historic Annapolis at our current offices located overlooking the Severn River on the beautiful grounds of the U.S. Naval Academy. In 2023, the staff of the Alumni Association and Foundation moved into new modern offices in the Alumni Center, which are on the banks of College Creek overlooking the Naval Academy and downtown Annapolis.

Key Responsibilities
Administrative Support
- Schedule and manage meetings, including calendar management and meeting logistics.
- Process invoices and prepare expense reports for the EVPs and their direct reports
- Conduct travel research and coordinate travel arrangements as needed.
- Prepare and edit correspondence, reports, and other documents as requested.
- Assist with special projects and initiatives as assigned by the EVPs.
- Maintain organized records and files for administrative processes.
- Provide additional support for Alumni Association leadership as needed.
Collaboration
- Work closely with other departments such as Communications, Finance, Events, and IT to ensure smooth operations and effective communication.
- Participate in team meetings and contribute to a positive, solutions-oriented team culture.

- Associate's degree preferred or related experience.

- Strong aptitude for navigating complex administrative or database systems.
- Able and willing to perform or assist with other duties as assigned.
