The United States Naval Academy Alumni Association and Foundation in Annapolis, Maryland is looking to hire a full-time Administrative Coordinator, Regional Development to join the Development Team.
The position is part of a passionate and energetic team, all of whom are driven to advance our mission as well as their own professional and personal growth. The team works closely together to think strategically, address opportunities and challenges, as well as search for ways to improve both team and individual performance. This position reports to the Administrative Manager, Development.
This non-exempt position is responsible for providing administrative and development support for the Regional Development Team (a total of nine development officers) in the execution of the Foundation's major and leadership giving program. This position assists with other development-related duties as needed.
This position pays a competitive salary commensurate with experience and is also eligible for an annual performance-based bonus, when applicable. This position is based in historic Annapolis at our current offices located overlooking the Severn River on the beautiful grounds of the U.S. Naval Academy. In 2023, the staff of the Alumni Association and Foundation moved into new modern offices in the Fleugel Alumni Center, which is built on the banks of College Creek overlooking the Naval Academy and downtown Annapolis.

Responsibilities
- Provide direct general administrative support to the Regional Development Team. This includes, but is not limited to:
- Managing the individual calendars, preparing letters, pulling donor/giving reports, portfolio review support, editing proposals and gift agreements, assisting in CRM/EverTrue data entry and analysis, preparing and mailing donor gifts.
- Completes various projects as assigned such as reading development books, preparing and presenting for the weekly professional development meetings, and participating in leadership initiatives.
- Assisting in the planning and execution of regional campaign events and communications
- Manage the team's quarterly e-newsletter process from initiation to execution; analyze key performance metrics such as open rates and engagement to inform content strategy and improve communication effectiveness.
- Develop marketing plans and analysis for regional campaign events and communications
- Additional support for the Foundation Development Team leadership will be provided as needed.
- Assists Administrative Manager, Development with:
- Team meetings and team retreat/off-site planning
- Interview scheduling and onboarding for new team members
- Office supply orders and special gift requests
- Volunteer with Foundation and Alumni Association events, as needed
- Serve as the primary point of contact in the Administrative Manager's absence
- Collaborate with Associate Director, Campaign Operations by preparing and managing attendee name tags and host gifts and entering post-event data.
- Assist in development event management including logistics, tracking, and all other administrative functions.
- Collaborate with the Research & Prospect Management team:
- Assist with data cleanup projects such as updating employment history records
- Analyze post-event data for Campaign and Regional events using a standardized template to track attendee engagement and link participation to subsequent giving behavior
- Collaborate to produce strategy notes for events and any data entry, as needed
- Work closely with other departments such as Communications, Finance, Events, Gift Administration, and IT.

- Bachelor's Degree preferred or related experience.
- Excellent organizational and communication skills, both written and verbal.
- Proficient in Microsoft Office Suite (especially Excel) and telecommunications tools, including videoconferencing platforms.
- Strong aptitude for navigating complex fundraising or sales databases; experience with Blackbaud CRM or equivalent systems preferred.
- Able and willing to perform or assist with other duties as assigned.
Due to the collaborative nature of the role and the consistent, in-person interaction with the Foundation staff is necessary. This position is based in Annapolis and is not eligible for a full-time remote working arrangement.
